General Data Protection Regulation Privacy Policy - RPSRM 
  
It is the responsibility of all businesses to advise their clients about how data is used, collected, shared and stored. I would like to outline below how this is related to Richard Pearson Sports and Remedial Massage (RPSRM)
  
• Why do I hold data for my clients? 
  
I hold data so I can ensure my treatment is targeted to my clients previous injury/medical history, interests etc. The notes I take allow appointments to be relevant and help me to provide my clients with the best service possible. My ability to provide a good service to my clients is severely compromised without data collection. 
  
• What data do I collect? 
  
I may collect the following information: 
Name and job title. 
Contact information including email address and telephone numbers. 
Demographic information such as address, postcode, preferences and interests. 
Date of birth. 
Details of any relevant medical history/information. 
  
• What form is the data held in? 
  
All notes from appointments are held in paper form and are stored within my private property in a locked draw. No data from medical appointments is held electronically. I may use an email/phone numbers, from time to time, to contact you about relevant offers, services and to book or confirm appointments. I may ask clients (where relevant) to provide testimonials on my website but I will only do this if a client agrees to the wording and how they should be represented by name which will usually be in abbreviated or anonymous form. 
  
• Consent 
  
Through agreeing to this privacy notice you are consenting to RPSRM processing your personal data for the purposes outlined. You can withdraw consent at any time by using the postal, email address or telephone number for RPSRM provided at the end of this Privacy Notice.   
  
• Is any of my data shared with 3rd parties? 
  
I may use email address and telephone numbers within the “King of Fitness” app which is used to book and confirm appointments for my clients. This app is not used for marketing purposes to the clients of RPSRM. I also take card paments via a Paypal Here card reader. Data from card payments is held via a secure Paypal App and account in accordance with normal business practice for receiving payment. I will never share your medical history with any 3rd parties as this is confidential information. 
  
• How long is data kept for? 
  
Data is kept up to date and relevant. I perform periodic updates and reviews of client data and destroy all data that is not relevant or out of date (usually after 7 years). I may keep data on file if a client indicates they may come back periodically for further treatment but this will be subject to the same periodic review mentioned above. 
  
• Links to other websites 
  
My website may contain links to other websites of interest. However, once you have used these links to leave my site, you should note that RPSRM does not have any control over that other website. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites that are not governed by this privacy statement. You should exercise caution and look at the privacy statement applicable to the website in question. 
  
• Your rights as a data subject 
  
At any point whilst RPSRM are in possession of, or processing your personal data, all data subjects have the following rights (general): 
Right of access – you have the right to request a copy of the information that we hold about you. 
Right of rectification – you have a right to correct data that we hold about you that is inaccurate or incomplete. 
Right to be forgotten – in certain circumstances you can ask for the data we hold about you to be erased from our records.   
Right to restriction of processing – where certain conditions apply you have a right to restrict the processing. 
Right of portability – you have the right to have the data we hold about you transferred to another organisation. 
Right to object – you have the right to object to certain types of processing such as direct marketing. 
Right to object to automated processing, including profiling – you also have the right not to be subject to the legal effects of automated processing or profiling. 
  
• Can I withdraw consent for the holding of my data? 
  
Yes, absolutely. If you would like to withdraw consent for me to hold your data then you can do this at any time. Please feel free to contact me by phone or email and I will ensure your request is processed and your data is destroyed in a mutually agreed and confidential manner. 
  
• Complaints 
  
In the event that you wish to make a complaint about how your personal data is being processed by RPSRM you have the right to complain directly to RPSRM. If you do not get a response within 30 days, you can complain to the ICO.
